Privacy Policy
Last updated: October 21, 2026
This policy explains what personal information Scalinata Software inc., a Quebec (Canada) corporation (“we”), collects when you use the scalinatasoftware.com website, why, who it is shared with, how long it is kept and how to exercise your rights. It supplements our terms of use. We write it to comply with Quebec's law on the protection of personal information in the private sector (Law 25) and, for people who live in the European Union, the GDPR.
It covers this site only. Our software (Dicteo, Zourou) each has its own website and its own privacy policy, which applies as soon as you create an account or use them.
1. What we do not do
- We do not sell your information and we do not rent it out.
- There is no advertising, no advertising tracker and no third-party audience analytics tool in scalinatasoftware.com.
- This site has no user accounts and sells nothing: it collects no payment information.
- We send no promotional e-mails and no newsletters: see section 3.
- We make no decision about you based solely on automated processing.
2. The information we collect
This site keeps no record of its visitors: we do not track your browsing and we keep only what you send us through the contact form, described below.
What you give us
- If you write to us through the contact form: your name, your e-mail address, the subject and your message (and anything else you choose to include).
- If you write to us directly by e-mail: your e-mail address and the content of your message.
What your browser sends
- Your IP address. When you send a message through the contact form, we keep it only as a fingerprint (a value computed from the address with a secret key), never in clear, only to limit abuse. This fingerprint remains personal information.
- The technical logs of our hosting provider and web server may themselves contain the IP address, the date, the page requested and the browser type. They are used for security and troubleshooting.
3. Why we use it
- To answer your messages and handle your request (information about a product, a question about your personal information, the report of an error).
- To protect the service: limit abusive attempts, detect fraud, diagnose technical errors.
- To comply with the law: our legal obligations.
We send no promotions and no newsletters, and we do not pass your address to third parties for them to do so. If you asked us for information about a product, we may reply and follow up with you about it, and only about it. If that were to change, we would ask you first, with a separate checkbox and a simple way to unsubscribe.
Consent. By writing to us, you give us your information voluntarily so that we can answer you: we do not ask you for a separate consent. If a processing activity ever required it, we would ask with a separate checkbox, and you could withdraw it.
We do not use your information for any other purpose without informing you. For residents of the European Union, our legal bases are our legitimate interest in answering the requests addressed to us and in protecting the site (security, abuse prevention), our legal obligations and, where applicable, your consent.
4. Cookies
scalinatasoftware.com uses only functional cookies, necessary for the service you ask for or for your language choice:
- a language preference cookie (
lang): it remembers the interface language for a year and contains no information about you; - a technical session cookie, reserved for our staff's administration console, never set for ordinary visitors.
They are used for no advertising, tracking or audience measurement. Your browser may also keep the site's static files (images, styles) in memory to speed it up; that memory holds no personal data. Because these cookies are indispensable to the service you ask for, they do not require consent.
5. Who we share it with
Only with providers who help us run scalinatasoftware.com, and only for what they have to do:
- a hosting provider (servers and database), whose data centres may be located in Canada or abroad;
- a storage provider, separate from the host, which keeps our backup copies and whose servers may also be located in Canada or abroad;
- an e-mail delivery provider, located outside Canada, to whom we entrust the delivery of message notices and of our replies: it receives the recipient's address and the content of the message, and may not use them for its own purposes;
- our business e-mail provider, located outside Canada, through which the e-mails we exchange with you pass and are stored.
We may also disclose information if the law or a court order requires it, or to protect our rights against fraud. If the company were sold or merged, the information would follow, under the same commitments.
Only authorised staff of Scalinata Software inc. access the administration console and the data, which is protected by two separate passwords.
Where data is processed
Contact form messages, and their backup copies, are hosted with our providers, who may be located in Canada or abroad. Our e-mail delivery and business e-mail providers, however, are located outside Canada and process part of this information outside Quebec and Canada. We entrust it to them only under contractual protection commitments equivalent to those required by the applicable law.
6. How long we keep it
| Information | Retention |
|---|---|
| Contact form messages (name, e-mail, subject, message) and fingerprint of the sender's IP address | 12 months, then deleted. A longer retention is possible if the law requires it, or to establish, exercise or defend our rights in a dispute. |
| E-mails exchanged with you (replies, requests for information) | For as long as it takes to handle your request, then at most 12 months, unless the law requires otherwise or in a dispute. |
| Technical server logs | Limited: logs are renewed automatically. |
| Backup copies | A few weeks: a deleted message disappears from the backups when they are renewed. |
7. Your rights
You may request:
- access to the information we hold about you, and a copy, including in a structured, commonly used format (portability);
- rectification of inaccurate information;
- deletion of your information;
- to withdraw a consent you gave, where applicable, to restrict processing or to object to it, where the law provides for it.
For any request concerning your information, write to us with the subject “Privacy”. We may ask you to confirm your identity, and we reply within 30 days. If you are not satisfied, you may file a complaint with the data protection authority of your region or country (in Quebec, the Commission d'accès à l'information).
8. Security
We protect your information with measures suited to its sensitivity: encrypted connection (HTTPS), data access limited to what is strictly necessary. As no system is infallible, we keep a register of privacy incidents and, if an incident presents a risk of serious harm, we notify you and the competent authority.
9. Children and minors
This site is aimed at a general audience, not at children. If you are under 14, do not use the contact form without the agreement of a parent or guardian; the person with parental authority may ask us to delete a message sent by a child. If we learn that a child has sent us information without that agreement, we delete it. The software products have their own rules for minors, described in their policy.
10. Changes to this policy
We may change it. For an important change, we notify you with at least 30 days' notice by a notice on the site. The date at the top of the page shows the version in force.
11. Contact
Scalinata Software inc., through the contact form on the scalinatasoftware.com site (subject “Privacy”).
The person in charge of the protection of personal information at Scalinata Software inc. is the head of the company. You reach them through the same contact form, with the subject “Privacy”: they receive and handle your access, rectification and deletion requests and your questions about this policy.
